Dear Secretary
We wrote recently to let you know that you will be able to access your club’s membership data online by the end of May. We have now completed a live test of the system with a number of clubs, and I am pleased to confirm that the test was successful and the system will be live for all clubs with effect from Tuesday May 27th.
From that date you will be able to use the system to renew existing members, add new members, remove resigned members and automatically calculate your member registration fees. Confirmation of registration for 2008-2009 will be emailed to all individual members on receipt of payment, and their cards will be sent out soon afterwards.
I am confident that this new system will make the annual registration process easier for all, and help eliminate the technical problems that affected the registration scheme in its first year of operation.
Accessing the Online Portal
From May 27th, you will be able to access the Online Portal by
· Clicking on www.englandathletics.org/editmyclub
· Entering your login and password that we sent in April
If you do not have you login details, please email registration@athleticsservices.org.uk and they will be happy to help.
Training
The Online Portal has been designed to be quick and intuitive to use without the need for additional training. A help package has been incorporated to deal with any questions that might arise. However, for extra support for you and/or your club administrator, we plan to organise some online and “face-to-face” training sessions in June and July to demonstrate the key features of the system.
Please contact us if you feel these would be of benefit, and watch our website for further details.
Additional Help
We are training all of our regional staff to support you during the next few weeks and months should you need to call on their services. If you do not have access to the Internet, our teams will be delighted to help you in updating your membership lists.
Thanks to your affiliation to England Athletics, our nine regional teams are able to provide you, your club and your members with a range of benefits that will make your experience in the sport all the more enjoyable. Unfortunately those benefits can sometimes be “well kept secrets” and we are looking to change that as a high priority. We will outline all of the ways in which we can help your club in welcome packs that we will send you in the coming weeks.
Can I take this opportunity to thank you once again for your affiliation to England Athletics? We are proud to be working with you and we hope that 2008 brings much success to you, your affiliated members and supporters.
If you have any questions related to the registration process, please email: registration@athleticsservices.org.uk or call 0121 713 8493 or 0121 713 8454. If you have other questions or concerns, please contact your regional office or mail me directly at msummers@englandathletics.org.
I look forward to hearing from you.
Best regards
Mike Summers
